Included: your customers' portal

Your customers stop calling to ask where their truck is.

Each customer company gets its own accounts with your shop. They send repair requests, answer your questions, approve estimates with a PO number and pay invoices, without a phone call. The portal is included in Repair Shop: your shop pays for MusterHQ, and your customers need no subscription of their own.

Send repair requests

Pick the unit, describe the problem and add up to five photos. You accept it, ask for more detail, add it to a job or decline it with a reason.

Follow each request

Whether it was accepted, what you asked and what they answered, and the status of the work order.

Approve estimates

Approve with their PO number, or decline with a reason. A viewer can read but not approve.

Invoices and payment

Every invoice you have issued them, what is owing, and Pay now by card.

Their units and inspections

Their own vehicles, and daily inspections their drivers do, which tell you when something needs repair.

Only their own records

A customer sees their own units, requests, estimates and invoices, never another customer's or your shop's.

How a job runs

From the request to the payment, on one record.

Each step is saved with who did it and when, so the customer, the counter and the bay are looking at the same job.

1. The request

Your customer sends it from their portal with up to five photos, or your counter opens the job.

2. The estimate

Labour and parts, totalled before tax. The customer approves it with a PO number or declines it with a reason.

3. The work

Techs log hours, parts and the fix. The board shows every job by stage, and the printed shop sheet opens the job from a QR code.

4. The invoice

Prepared from the job at your rates, with GST or HST, your legal name, GST number and logo. Numbered in order, locked once issued.

5. The payment

Customers pay by card online. The money goes to your shop's own Stripe account, and a refund there follows onto the invoice.

6. The release

A unit leaves when it is paid in full, on account once the invoice is signed for, or with a manager's logged reason.

Who it is for

Your counter, your bay and your customers.

Shop owners

See what is in the bay, what is waiting on approval and what is owing.

Service advisors

Send estimates, issue invoices, take payment and release units.

Technicians

Log time, parts and the fix on the job from the bay.

Your customers

Their own portal: their units, requests, estimates and invoices, and nobody else's.

Your records

Once an invoice is issued, nobody can change it.

Invoice numbers run in order with no gaps. A voided invoice keeps its number and says so. Each customer sees only their own records, and your shop's records are kept apart from every other company's.
